Education Coordinator

POSITION TITLE: Education Coordinator (Full-time/Education Department)
REPORTS TO: VP Education, Health & Wellness Manager, Professional Education Manager (supervisor)
POSITION PURPOSE:
The purpose of this position is to coordinate administrative and logistical support for all assigned education programs, projects, and initiatives. This position will support the VP Education and will be a member of the Professional Education and Community Education teams. This position will apply standard project management methodology to ensure effective planning, monitoring, metrics, communication and documentation of assignments.
PRIMARY RESPONSIBILITIES:
- Program coordination and support. Provide thorough, accurate and punctual administrative and logistical support for community and professional education programs. Coordinate projects, applying standard project management tactics. Maintain and monitor project plans to ensure all assignments are on track, meet objectives, and are easily accessed by others as appropriate. Develop, maintain and communicate calendar of due dates for program activities.
- Logistics and meeting support. Schedule and organize program-related meetings, coordinating with key internal and external stakeholders. Coordinate logistics with internal and external facilities and vendors for education programs/ sponsored events (e.g., facilities, catering, AV), ensuring that logistics checklists are developed, followed, and maintained. Interact with vendors regarding RFPs, billing, or other questions to ensure effective communications and results.
- Program communications. Assist in marketing of programs. Create and/or review written and e-communications. Compile and/or edit program materials, including attendance rosters, website, handouts and PowerPoint presentations. Assist with administering surveys and create requested reports (e.g., outcomes reports).
- Program registration process and mailings. Maintain databases and coordinate print and e-communications for programs. Establish and run registration and fulfillment processes, including processing payments. Provide reports for registration and billing.
- Budget and measurement support. Track program/project budgets as assigned. Code and track invoices, assigning costs to appropriate cost centers. Invoice customers and track receipt of payments. Compile and maintain program data and metrics on a timely and accurate basis (i.e., evaluations, participant totals, costs). Ensure all data and metrics are accessible, accurate and reported punctually.
- Customer service. Manage incoming calls, emails (via website) and correspondence for the department and responds to inquiries as appropriate. Requests may be from the lay public, medical professionals, vendors, and consultants. Maintain and monitor the education services department activities calendar.
- Administrative support to the VP of Education: Manage calendar, schedule meetings, coordinate education team meetings and activities, process invoices, and other duties as requested.
- Assist with reception and phone coverage needs for the Administrative and Education departments.
SECONDARY RESPONSIBILITIES:
- Manages miscellaneous projects and completes various tasks as needed by management.
JOB SPECIFICATIONS:
Desired Education and Experience
- Bachelor’s degree or equivalent experience.
- Two or more years experience preferred in project coordination, including goal setting, problem solving, collaboration, goal completion and project evaluation/improvement.
- One or more years experience in health care or education preferred.
- Proficient in the use of business software and applications, including Microsoft Office programs, web and e-communications tools (contact management systems, social media).
Knowledge, Skills and Abilities
- Strong skills in time management, multi-tasking, attention to detail and follow-through.
- Self-starter who is able to deal with ambiguity and changing priorities.
- Strong customer/client service orientation, with strong problem-solving skills and an ability to navigate competing priorities/interests.
- Excellent verbal and written communication skills.
- Quick learner who does not need much instruction or direction.
PHYSICAL REQUIREMENTS NECESSARY TO PERFORM THIS JOB:
Incumbent must be able to:
- Lift 20 pounds to transport materials for events and training.

- Utilize office equipment including computer, fax, phones, etc.
- Legally drive a motor vehicle.
WORK ENVIRONMENT:
Works in a cubicle or office setting.
